We’re Hiring: Data & Systems Associate

The ideal candidate has strong quantitative skills, can manage multiple projects simultaneously, and is excited about delivering tech solutions. They can work both collaboratively and independently.

A member of the People & Systems (P&S) Team, the Data & Systems Associate is a full-time exempt position, preferably based in our New York office. This position reports to the Chief Finance and Operations Officer and partners with the other members of the P&S team. UpStart is building a culture that empowers its leaders to make strategic data-driven decisions. The Data & Systems Associate will be part of the team working on aggregating a complete view of our stakeholders (partners, funders, program alumni, and UpStarters) and all their interactions with our organization past and present.

We are seeking a meticulous and efficient candidate who is willing to embed themselves within our systems. On an average week, you might find yourself overseeing data integrity projects, creating help resources for team members, supporting maintenance of UpStart’s technology systems, organizing data values for consistency, and supporting a variety of technology projects and roll-outs.


Data Management

  • Support and manage basic Salesforce administration including data entry, data uploads, duplicate management, and troubleshooting user errors.
  • Assist with data collection processes, including:
    • Creating online forms and administering internal surveys for evaluation
    • Automating workflows for team members
    • Partnering with team members to migrate their spreadsheet data into Salesforce
    • Ensuring data integrity by running duplicate merge processes and scanning for any human or computer errors in the data.
  • Run routine database maintenance and back-ups for technology systems
  • Support team members on accurate internal and external reporting needs, including helping users in filtering dashboards or making minor edits to reports

Technology Support and Training

  • Ensure technology is meeting user needs by maintaining strong relationships across the staff and understanding user adoption patterns
  • Handle technology support requests and track them as they come across platforms, including management of the relationship with our outsourced technology support provider
  • Support trainings for new features and skill-building for team members for a variety of technology roll-outs
  • Assist in technology support and onboarding of new staff to UpStart team, including 1:1 sessions and supporting the set-up of technology assets
  • Stay on top of new software upgrades as they come out, and generally stay updated on field-wide developments

Systems and Financial Operations

  • Manage fiscal sponsorship transactions, including payments and correspondence
  • Enter data on invoices and bank deposits; ensure proper coding of deposits
  • Communicate with vendors on technology initiatives, payments, and reimbursements
  • Support the maintenance and organization of our Google Drive file manager
  • Support general and ongoing technical updates of UpStart’s website
  • Ensure proper alignment and connection of information between MailChimp, Salesforce, and website. Complete monthly reconciliations to support list management and database growth.


  • Bachelor’s degree or equivalent work experience
  • 3+ years of experience in administrative roles
  • Familiarity and comfort with cloud-based technology, such as Salesforce, Slack, G-suite.
  • Proficiency with Google Sheets, Excel, and/or other spreadsheet software.
  • High standards of excellence, including extraordinary organizational skills, attention to detail, and ability to prioritize workload.
  • Self-starter with the ability to manage tasks and projects, and to work both within teams and independently
  • Flexibility and comfort working in a fast-paced environment with unanticipated opportunities
  • Adaptable to change, both organizational and technological

The salary range will be discussed during your first round interview and we can answer any questions you may have about compensation during that conversation.   1. A preliminary call will be scheduled with our internal recruiter.
  2. Candidates who advance to the first interview will meet with the Hiring Manager.
  3. Candidates who advance to a second round will complete an experiential assignment in advance of interviewing with the People & Systems team.
  4. Finalists will participate in a third-round interview with the Hiring Manager. References will be requested of all finalists in advance of this final meeting.
